    Position Title: Assistant to Banking Working Group Secretariat

    Location: Room 08, Floor 3B Horison Tower, 40 Cat Linh, Dong Da, Hanoi

    Reports To: Advocacy Manager of BWG Secretariat

    Job Summary: The Assistant to the Banking Working Group (BWG) Secretariat supports the BWG in achieving its objectives of stimulating banking operations, facilitating effective communication among members, and promoting cooperation with the State Bank of Vietnam (SBV) and other authorities. This role involves organizing meetings, preparing materials, managing communications, and providing administrative support to ensure the successful operation and coordination of BWG activities.

    Key Responsibilities:

    • Meeting Organization and Coordination:
      • Organize and coordinate internal BWG meetings, including Executive Committee (ExCo) meetings, Sub-committee meetings, and meetings between BWG and Authorities.
      • Prepare and distribute materials related to these meetings.
      • Arrange logistics for meetings, including scheduling, venue arrangements, and technical support.
    • Reporting and Documentation:
      • Prepare reports and updates on the implementation of actions agreed upon by ExCo Members.
      • Prepare report on BWG activities for the ExCo and BWG Chairperson.
      • Monitor and update the membership database, including the collection of Annual Membership Fees.
      • Track and report on the BWG annual budget, providing updates to the BWG Chairperson quarterly and to ExCo annually.
    • Support and Liaison:
      • Provide support to the BWG Chairperson, Sub-committee Heads, and Task Force Leaders.
      • Consolidate recommendations from BWG Members into formal letters and submit these recommendations to competent Authorities.
      • Liaise with relevant Authorities and follow up on issues raised by the BWG.
      • Act as the focal point for communication with the media and the public, ensuring effective dissemination of information.
    • Communication and Coordination:
      • Ensure effective communication of dialogue content and outcomes to BWG Members, Government bodies, and the public as appropriate.
      • Coordinate with BWG members and stakeholders to facilitate smooth operation and interaction.
    • Administrative Support:
      • Perform general administrative duties, including data collection and consolidation for monitoring and evaluation.
      • Manage procurement processes for BWG activities and handle other administrative settlements as required.
    • Ad Hoc Tasks:
      • Support the preparation of special events such as Annual Forums.
      • Undertake additional tasks and assignments as needed to support the BWG’s operations.
    • Other tasks as assigned by Advocacy Manager from time to time.

    Qualifications:

    • Bachelor’s degree in Business Administration, Finance, International Relations, or a related field.
    • Minimum of 02 years of experience, preferably in legal, banking or financial services.
    • Strong understanding of banking sector operations and policy issues (preferred).
    • Excellent organizational, communication, and interpersonal skills.
    • Proficiency in English and Vietnamese, with strong drafting and translation skills.
    • Ability to handle multiple tasks simultaneously and work under pressure.
    • Experience in event coordination and administrative support.
